Background Statement

The Gulf Coast Community Choir, which was formed in 2000,  by the late  Dr. S. Carroll Buchanan,  is an all volunteer  multicultural adult group made up of singers from the Manasota area.  All have had experience singing with other choral groups, Some have had formal musical training, a few have sung professionally.  The group performs one major concert per year to raise funds for local charities.  During the year, the group also performs gratis at local nursing homes and senior citizen residences. The group often collaborates with another choir in the area and on occasion, is asked to perform at various events in the Sarasota County area.

The group also joined with the Carr-Hill Singers of NY and performed abroad in Barcelona, Spain and San Marino, Italy under the name the Carroll Buchanan Chorale.  The organization encourages the development of youth talent and welcomes youth performers.

The choir's mission is to raise funds for worthy charities in the area. The group has received many accolades for its work, including, in 2001, the key to the City of Sarasota.

The choir’s 10th anniversary season will culminate in a series of concerts, May 26 thru June 1, in San Marino, a principality in Italy.

Statement from the Board Chair/Board President
I believe our one of our successes and one of our biggest challenges  has been to be able to identify dedicated people who can sing who will give up almost every  Monday evening and their money to  rehearsals. When people are volunteering, it is difficult to criticize when one does not show up for rehearsal.  However, we have become a "family." We call if members are out to ensure they are ok, hold periodic pot luck dinners to develop comradery.  I have found that our members love to sing at senior citizen homes.  We have a group that cares about people.  This, along with the ethnic and religious diversity makes us special.

Another major challenge is outfitting the choir.  It is difficult to ask  people who volunteer their time to  pay for their own music and transportation to also pay for their outfits.   For our 15th anniversary, we had saved enough in our coffers to cover the cost of outfits for the ladies.  We are going to continue to budget a small amount each year so that we can consider doing this every 5 years.
Statement from the CEO/Executive Director
 1. Our repertoire is very eclectic.  Rather than concentrate on traditional big works, we range from Negro spirituals, to show tunes, to art songs, traditional hymns, folk tunes, etc.
2. Our racial  and religious diversity.
3. Our all volunteer nature.  No one receives any remuneration, including the director.
4. We are the only choir whose mission is to support other non-profits.
Programs
Description The choir's primary endeavor is to present a major concert to raise funds for worthy charities primarily in the Sarasota/Manatee, Florida area.
Budget $6,000
Category Philanthropy, Voluntarism & Grantmaking, General/Other Community Service
Program Linked to Organizational Strategy Yes
Population Served General/Unspecified US Minorities
Short Term Success We believe that using this format, including having the choir members continue to pay $25 annually in dues, every 5 years we can purchase new outfits for the choir.
Long Term Success to be able to raise a minimum of $10,000 per year  for local charities via a quality concert without resorting to securing the needed financial resources from the singers.
Program Success Monitoring Our newly established Board of Directors will oversee our accomplishments and make recommendations on an annual basis for improvement.
Program Success Examples Even though this is the choir's first year as a 501c3 org. we have been around for 10 years - singing for various charities to enable them to raise funds.  Over the 10 years we have raised over $50,000 in support of such organizations as the Cancer Support Community, All Faith's Food Bank, Meals on Wheels,  Children First, NAACP, Music Archives, The JH Floyd Sunshine Manor, and the Holocaust Museum.  This is the first year we have tried our program of supporting more than one charity and monitoring, ourselves, the funds raised. Our 2012 charities are Literacy Council, Anna E Gale Foundation, and Dollar Dynasty.  Each charity keeps the funds it raises via tickets to the concert and, in addition, 52% of the funds raised by the choir through ticket sales are also divided among the charities.  Eg. in a venue with 500 seats.  The choir gets 200 to sell  (two fifths of the seats).  If the choir sells all its tickets it gets to keep approximately 33% of the revenue from the 200 (which out of a $10,000 income amounts to approximately $1,320 for operations.  In 2012, we met our goal.
Comments
Program Comments by Organization We believe that if we can build sufficient backup funds to operate for three years, the choir can raise enough funds  annually to continue its program indefinitely.

Collaborations
The essence of the choir's being is collaboration.  We collaborate with other  charities per year for our concert and with two nursing homes.  We also collaborate with other non-profits in the community for special events, such as Embracing our Differences in their end of the first year event; with the Committee to End Genocide, and the The Holocaust Museum to promote their Freedom Riders Exhibit. In 2012 we collaborated with Florida Studio Theatre to do 60 mini performances at the end of their play, Best of Enemies.  In 2014 we joined with other choirs to participate in a tv holiday program singing Carols.  In 2014, with Gloria Musicae to perform in their "In Thanksgiving" Concert.  For 2015 we are in the process of developing a collaboration with several other non-profits.

It is difficult to get volunteers to commit to the rigors of putting on a quality program.  A special challenge is finding male singers.  The choir is always on the lookout for new ways to reach singers.  See Program, above, for current ways of addressing the problem.

Another challenge has been to get the donee charities to buy in to the event.  Formerly they were asked to commit to a certain no of tickets.  That request has been rescinded because it took much effort with few results.  Currently the choir has taken on the entire responsibility of raising the money. We have amended our "contract" with the charities to highlight the fact that the more tickets they sell, the more money they will make.  (We do not take any of the proceeds of tickets they sell).

We need to have a clearer line for reporting of documents to the State and Federal Govt.  Currently, the business mgr is notified and turns over the information to the treasurer who handles it online and reports back to the business mgr and the board.  We need a better paper trail.

We are considering developing a "friends" group of volunteers to help with the choir. Concept still pending

We are seeking funds to develop younger and better singers.

We also need a PR/Marketing  professional to enhance our visibility in the  community.  Too many people have not heard of us even after 15 years of singing in the community.

Thirdly, we would like to get to the day when the choir members do not have to pay for their own music or to chip in to cover the cost of using rehearsal facilities.

We are working to increase our donor base to help us with the above.

Finally, it seems that we will  have to pay for "ringers," especially men, as well as a few special soloists, as they are difficult to attract to an all volunteer choir.
